TERMS AND CONDITIONS OF PARTICIPATION IN THE EDUCATION OF LEADERS OF INTERNATIONAL VOLUNTARY CAMPS

1 What is the education of leaders of international voluntary camps?
The education of leaders of international voluntary camp (hereinafter referred to as “leadership training”) is an official project implemented by INEX Slovakia. INEX Slovakia – civic association (hereinafter referred to as “INEX Slovakia”) acts as an organizer of leadership trainings in Slovakia. Leadership trainings are educational projects focused on specific topics, which aim to improve the abilities, knowledge, skills and attitudes of participants and lead to better quality work with youth. Leadership training is not a holiday trip, a vacation, a language course, a work camp or a study stay.

There are 4 types of projects that a participant can apply for:

(Offline) accredited training program “Leadership Academy”, which consists of 2 weekend trainings. The trainings are accredited by the Ministry of Education, Research, Development and Youth of the Slovak Republic. Accreditation of the Ministry of Education, Research, Development and Youth of the Slovak Republic granted under the number: AKPSM/0065/2021/3/001.

Each participant participates in leadership training on their own responsibility. Therefore, participants must be 18 years old (unless otherwise stated) at the time of departure for the training/start of the online leadership course. Participants under 18 may only participate in the leadership training with the written consent of a legal guardian on the application form, by which the legal guardian of the participant acknowledges and agrees that INEX Slovakia is not responsible for the participant and that such participant’s participation in the leadership training is at the participant’s and their legal guardian’s responsibility and risk.

The applicant for placement in leadership training (hereinafter referred to as the “Applicant”) is the person applying for participation in leadership training, identified on the INEX Slovakia application form (hereinafter referred to as the “Application Form”). By submitting the application form, the applicant (or their legal representative on behalf of the applicant) agrees to the following terms and conditions for participation in the leadership training. Upon payment of the participation fee and confirmation of acceptance to the leadership training by INEX Slovakia, the applicant becomes a participant in the leadership training (hereinafter referred to as the “Participant”).

2 Online course
Online course “Management of volunteers in a multicultural environment” – accredited training and online activity “November evenings with INEX” – educational and teambuilding activity are implemented in the form of online courses and educational videos. The online courses are a substitute for the training in case of an emergency situation where it is not possible to deliver the training in person. Participants do not need to travel to the online course, it is enough if they have an internet connection and an online platform pre-determined by the training team.
Participants under 18 may only participate in the online course with the written consent of a legal guardian on the application form. The signed scanned application form must be sent by e-mail to inex(at)inex.sk.

By signing the application form or submitting the online application, the applicant (or their legal representative on behalf of the applicant) agrees to these terms and conditions of participation in the online course. By confirming acceptance, the applicant becomes a participant of the online course (hereinafter referred to as ‘participant’).

The applicant acknowledges that the organizer is entitled to exclude the participant from the online course if the participant disrupts the course, violates the law and does not follow the principles of netiquette (e.g. expresses themselves vulgarly), or violates other generally binding legislation of the Slovak Republic, uses addictive, narcotic and/or psychotropic substances, including the use of alcoholic beverages, during video calls.

3 Participation fee
The participation fee for each activity is set as follows:

50 € – 1. part (offline) of the accredited training program
50 € – 2. part (offline) of the accredited training program
50 € – experience weekend
0 € – Potáborka
0 € – online course

The participation fee partly covers the cost of the activity, which includes meals, refreshments, accommodation, rent of the conference room and materials for the duration of the training.

We do not provide meals, refreshments, accommodation, leisure time program during the online course!

The participation fee is used to partly finance the cost of the participant’s stay at the leadership training. INEX Slovakia is a non-profit organization and therefore does not operate a business or provide paid services. The participation fee is a contribution to the educational activities of INEX Slovakia and is used to partially finance these activities of INEX Slovakia in Slovakia. The participation fee is also an expression of the participant’s serious interest in participating in leadership training.

The participation fee will be paid by the participant:
a) by bank transfer to INEX Slovakia account SK26 1100 0000 0026 6745 5125 (Tatrabanka) – the participant shall indicate their name and surname and the note “skolenie” in the purpose of the payment/description of the transaction, so that the payment is easily identifiable
b) in cash in person at the INEX Slovakia office.

Participants fill in the online application form on our website www.inex.sk. The application form must be completed in Slovak/English. The processing of the application will start as soon as we receive the applicant’s payment. To speed up the application process, we recommend sending confirmation of the transfer of the participation fee to the e-mail inex(at)inex.sk.

When filling in the online application form, the participant confirms the acceptance of the terms and conditions of participation by ticking the appropriate box on the INEX Slovakia website. We advised the applicants applying online to make sure that their payment and the online application form have been registered by INEX Slovakia at inex(at)inex.sk .

We will inform each participant of their placement on the (offline) leadership training by e-mail without undue delay after we receive the payment of the participation fee. We will send the detailed information, instructions, the so-called infosheet, at the latest 7 days before the start of the leadership training.

Each participant of the online course will be notified of acceptance without undue delay upon receiving a completed application form. No later than 2 days before the start of the online course, we will send to the participants detailed information, instructions, the so-called infosheet.
The participant of the leadership training is responsible for their own transport to and from the project venues (unless otherwise stated).

4 What does INEX Slovakia provide?
INEX Slovakia is receiving application forms for leadership training. After the applicant has paid the participation fee and has been identified by INEX Slovakia, INEX Slovakia sends the applicant a decision on placement in the leadership training, thus becoming a valid participant in the leadership training. No later than 7 days before the first day of the leadership training, we will send the participant the instructions (infosheet), which contain a description of the travel to the location of the leadership training, information about food, accommodation and the project and its activities.

For the online training, we accept participants based on the fully completed application form. We will send to participants the instructions (infosheet) and the course schedule at least 2 days before the first online course. INEX Slovakia does not provide meals, refreshments, leisure time, accommodation or travel for online courses.

5 Submission of the application
By submitting an application from, the applicant agrees to participate in leadership training. By submitting an application, the applicant or their legal representative declares that all information provided in the application form is true and that the applicant is physically and mentally able to travel on their own to and from the venue and to participate in the programme and non-programme activities of the leadership training.

Upon confirmation of the acceptance to leadership training by INEX Slovakia, the applicant becomes a participant of leadership training and they are obliged to attend.

The application form is subject to the cancellation policy, section 6. Cancellation of attendance at Leadership Training by a participant, or non-attendance at leadership training by a participant.

The participant can cancel the application form only by sending the cancellation of the application from to e-mail inex(at)inex.sk. The e-mail must contain the following text:

I request you to cancel my application form for this project ……………………………………………………….. (code, title, term).
At the same time, I ask you to return the payment of the participation fee minus the cancellation fee, the amount of which was specified in the “Terms and conditions of participation in the education of leaders of international volunteer camps”.

Please transfer money to the bank account number …………………………………………………………………………

In case of cancellation of the application for leadership training by the accepted participant, INEX Slovakia is entitled to the following cancellation fees:

Upon receiving the e-mail about the cancellation of the application form by INEX Slovakia:
– cancellation 21 – 14 calendar days prior to the event date – return 100 %
– cancellation 14 – 7 calendar days prior to the event date – return 50 %
– cancellation less than 7 calendar days prior to the event date – return 0 %

After charging a cancellation or handling fee, the remaining amount of the participation fee will be refunded to the applicant based on an e-mail request from the applicant. If payment of any amount to a current account is requested, the request must include the account number to which the money is to be sent and all necessary billing details (bank code, IBAN account number in the form of IBAN for cross-border transfers, etc.).

If a participant does not participate in the leadership training for which they have been accepted, nor have they cancelled their application, they shall not be entitled to a refund of their participation fee.

7 Cancellation of a participant’s attendance at the leadership training by INEX Slovakia
INEX Slovakia may cancel a participant’s attendance at the leadership training for important organizational reasons. In case of cancellation of a participant’s participation in leadership training by INEX Slovakia, the participant will receive a 100% refund of the participation fee.

8 Insurance
INEX Slovakia does not provide any type of the insurance for the participants of the leadership training.

9 Emergencies during leadership training
The applicant interested in participating in the leadership training acknowledges that INEX Slovakia as the organizer of the leadership training is entitled to exclude the participant from the leadership training if the participant disrupts the leadership training program, violates laws or other generally binding legal regulations of the Slovak Republic, uses addictive, narcotic and/or psychotropic substances, including the use of alcoholic beverages, or possesses addictive, narcotic and/or psychotropic substances, the possession of which is prohibited under the laws of the Slovak Republic.

In case of exclusion from leadership training, the participant is not entitled to a refund of the participation fee or any part thereof. INEX Slovakia shall not be liable for any damages or loss of profit suffered by the participant because of exclusion from the leadership training and the participant shall not be entitled to reimbursement of any costs associated with attending the leadership training or returning to their place of residence.

In case of occurrence of emergencies during the leadership training (e.g. accident, illness, natural disaster, etc.) limiting or preventing the participant’s participation in the leadership training, INEX Slovakia will provide appropriate assistance to the participant to the best of its abilities, may contact the participant’s relatives or close persons of the participant and inform them about the circumstances. However, INEX Slovakia shall not be obliged to cover, even partially, the costs associated with the removal of the emergency circumstances or their consequences, the costs of the participant’s medical treatment or their return to their place of residence, etc.

Participants in leadership training are adults or minors who participate in leadership training with the consent of a legal guardian, on their own responsibility or on the responsibility of their legal guardian(s). Therefore, INEX Slovakia cannot force a participant to remain in leadership training for the entire duration of the leadership training. However, if the participant voluntarily leaves the leadership training before its completion, they are obliged to inform the INEX Slovakia immediately. INEX Slovakia shall not be liable for damages caused to the participant or to third parties because of a breach of this obligation.

If the participant is dissatisfied with the leadership training, the program, the quality of the provided food or accommodation, they shall inform the INEX Slovakia office without undue delay so that we can take timely steps to remedy the situation, if possible.

10 Organisation of programme and leisure activities during leadership training
The participant is obliged to follow the instructions of the person in charge of organising the leadership training and the instructions of the trainers during the leadership training activities. When carrying out activities outside the framework of the programme, they are obliged to follow the instructions of the person organising the programme outside the framework of the activities. The participant shall observe the usual safety principles of which they can reasonably be expected to be aware, taking into account their age, level of physical and mental maturity. INEX Slovakia shall not be liable for damages caused to the participant or third parties and injuries caused to the health and life of the participant or third parties during the leadership training or during the journey to/from the leadership training.

Not valid in case of the online event.

11 Other legal arrangements
The signature of the applicant or the submission of the online application form by the applicant or the applicant’s legal representative on the application form shall create a contract between the applicant and INEX Slovakia pursuant to Section 51 of the Civil Code, the content of which shall be the rights and obligations set out in these Terms and Conditions (hereinafter referred to as the “Contract”). The Contract is not a contract for the procurement of a tour pursuant to § 741a et seq. Civil Code. INEX Slovakia is a non-profit civil association and is not a travel agency according to Act No. 281/2001 Coll. INEX Slovakia is not an entrepreneur. Legal relations not regulated by the contract are governed by the relevant provisions of the Civil Code. The contract is governed by the law of the Slovak Republic, even if the applicant and/or their legal representative is not a citizen of the Slovak Republic and/or does not reside permanently in the Slovak Republic. The courts of the Slovak Republic shall have jurisdiction to settle any disputes arising out of the contract; the subject-matter and territorial jurisdiction of the court shall be governed by Act No 99/1963 Coll., the Code of Civil Procedure, as amended.

INEX Slovakia reserves the right to change the Terms and conditions of participation in the education of leaders of international volunteer camps.

Consent to the processing of personal data and their transfer to third parties pursuant to Regulation (EU) No 2016/679 of the European Parliament and of the Council, as amended (hereinafter referred to as the “GDPR Regulation”) and Act No 18/2018 Coll. on the Protection of Personal Data and on Amendments and Additions to Certain Acts, as amended.

By signing the application form or by submitting the online application, the applicant or the applicant’s legal representative acknowledges and agrees that INEX Slovakia may process the applicant’s personal data provided in the application form, including their processing in information systems. INEX Slovakia may pass them on to its partner organisation, including those based abroad, for the purpose of securing the applicant’s participation.

The data subject voluntarily gives in accordance with Regulation (EU) No 2016/679 of the European Parliament and of the Council as amended (hereinafter referred to as the “GDPR Regulation”) and Act No 18/2018 Coll. on the protection of personal data and on amending and supplementing certain acts, as amended (hereinafter referred to as the “Act”), the participant gives his/her explicit consent to the civil association INEX Slovakia to process his/her personal data in the scope of (1) the name and surname of the participant of the event, (2) the date and year of birth of the participant of the event, (3) the address of the permanent and temporary residence of the participant of the event, (4) the e-mail address of the participant of the event, (5) telephone number of the participant, (6) gender of the participant, (7) name and surname of the legal representative of the participant under 18 years of age and (8) telephone number of the legal representative of the participant under 18 years of age, (9) name of the person as emergency contact, (10) telephone number of the person as emergency contact, (11) e-mail address of the person as emergency contact. INEX Slovakia collects personal data directly from the data subjects – you as event participants and your legal representatives when registering for an event or directly at an event organised by INEX Slovakia.

How do we use your personal data?: We use your personal data to register participants of events organized by INEX Slovakia for the purpose of drawing subsidies for youth work in accordance with Act No. 282/2008 Coll. on the Support of Youth Work, as amended, and on the basis of the Contract on the Provision of Subsidies concluded between our organization and the Ministry of Education, Research, Development and Youth of the Slovak Republic.

This consent is granted for an indefinite period; it may be revoked at any time by written notice delivered to INEX Slovakia.
